booking conditions

holiday quotations
We will send you a quotation based on the information which you supply and this will be valid for a period of 6 weeks form the date of issue. Should there be any changes we will issue a revised quotation.

bookings and payments
Before booking we recommend you contact us to check the most up to date information to do with the holiday. The bookings is definite if it is confirmed by you by telephone. We will need the booking form completed and signed and this will signify you accept the quotation and our terms of business. The booking form should be returned with a cheque for the deposit of £100 per person or payment in full if the booking is within 8 weeks of departure.

Once your booking is confirmed a definite contract exists between us. We will send you an invoice confirming details of the holiday. The person making the booking and signing the booking form guarantees payment to us of the holiday booked and also does so for all the others for whom the booking is made. The remainder of the holiday cost must be paid no later than 6 weeks before you leave. We will issue a reminder 7 weeks before you leave. If we do not receive the deposit or balance by the due date we can treat the booking as cancelled by you. If we need to change arrangements on your behalf we could incur extra costs and may need to make a small charge to cover these.

flight bookings
All flights are arranged by Phileas Fogg Travel who are members of The Association of British Travel Agents number E9361 and are licensed by the Civil Aviation Authority ATOL number 3693. On booking we will make all the necessary flight arrangements. You will subsequently be contacted by their representative and thereafter all dealings will be with them direct. They will take the deposit, issue an invoice confirming the flight details and giving the date on which the balance is due which is normally 10 weeks prior to departure. The flight tickets will be issued directly to the person who signed the booking form not later than 2 weeks before departure.

price guarantee
Once your booking is confirmed the price of your holiday is fully guaranteed. In return for this commitment we will not refund you for exchange rate movements or cost adjustments that would otherwise reduce the holiday price.

changes or cancellations by you
If you ask to change your booking after confirmation, for example transferring to different accommodation, departure date or golf arrangements we will try to meet your requests wherever possible If you add people to your booking they are added on the understanding that they have also accepted these booking conditions. If we can meet your new requests we will issue a revised invoice to confirm this.

cost of changes
If we receive notice more than 6 weeks before you leave and we can make the change we will do so without charging for the changes. This does not include flights which comes under the terms and conditions of Phileas Fogg. Within 6 weeks, if we incur extra charges we will pass those charges on to you in the final invoice. If the number of people travelling changes we will issue you with a new price on the basis of the new size of your party. Any increase in price as a result of cancellation (for example, if only one person stays in a room) will be shown on the new invoice.

cost of cancellations
If any member of the party need to cancel the booking or part of it once it has been confirmed the person listed as the lead name on the booking must do this in writing. The cancellation charge will be based on the expenditure which we have laid out in accordance with the confirmed booking plus an additional £50 for administration expenses. You may claim against your insurance policy if your cancellation is covered by the policy you have taken out.

changes or cancellations by us
It is unlikely that we will have to change your holiday. However, we can make changes to and correct errors in details provided on our web site and in correspondence with you before and after you have booked your holiday.

significant changes we make
If, as a result of unusual or unexpected circumstances beyond our control, the outcome of which we could not avoid, we have to make significant changes to the contract we will tell you as soon as possible. A significant change is one that we make to your holiday arrangements before you leave the involves changing:

your UK departure airport
your booked accommodation
your departure time or length of holiday by more than 12 hours (except in the case of cutting short your holiday in the section in circumstances outside our control)

You will have the choice of:

accepting the changed arrangements notified to you
buying another holiday from us and paying or receiving a refund for any price difference
cancelling your holiday and receiving a full refund of all the money you paid us

You must let us know your decision within 7 days.

minor changes we make
A minor change is any other change. Changes to domestic flights, airlines, aircraft types and
airports where you arrive are classed as minor changes and we do not have to inform you
unless you are driving from the airport to Myrtle Beach.

You will however receive a changed itinery from Phileas Fogg in the event of flight time changes and the like.

circumstances beyond our control
We do not accept any liability if our performance is prevented or affected by an event beyond our control which we or our suppliers could not expect or avoid even with all due care.

war
riots
terrorist activity
industrial disputes
natural or nuclear disasters
fire
bad weather conditions
technical problems to transport
airports being closed or full
cancellation or changes of schedules by scheduled service airlines
any similar event

cancellation by us
We can cancel your holiday. We will never cancel your holiday less than 6 weeks before you leave except for reasons beyond our control or because you do not pay the final amount you owe. If we cannot provide the holiday you booked you will have the choice of buying another holiday from us and paying or receiving a refund of any price difference, or you can receive a full refund of all the money you have paid us.

insurance
For your own protection, you and all members of your party must have suitable insurance for the full period of your holiday. At the time of booking, you must either purchase the travel insurance we offer or give us details of your alternative policy within 7 days of booking (name of insurance company and policy number). If you do not agree to take out insurance as set out above we regret we cannot accept your booking. Please note it is your responsibility to ensure the insurance you purchase is suitable and adequate for your own and your parties particular needs.
